Get paid on time with clear invoices and kind reminders

Send the bill the same day, and keep a kind reminder ready.

What it is

This free NextGen Business Community guide is about two small jobs. First, you send a clear invoice as soon as the work is done. Then, if the money does not come in, you send a kind reminder. A free AI tool can write the first draft of both. You check the facts and send them yourself.

An invoice is a bill. It says what you did, what it costs, and when to pay. A reminder is a short, polite note that says the bill is still open.

Why it matters for your business

When you are busy, bills slip. You finish a job, drive to the next one, and the bill waits a week. Then the customer forgets too. Late money makes the whole week harder.

A clear invoice and a simple system make it easier to get paid. When the bill is clear, people have fewer questions. When a reminder is ready to go, you don't put off asking.

Here is a made-up example. Rosa runs a small window washing business. She used to send bills on Fridays, from memory. Some jobs got left off. Now she sends each invoice the same day, with the date, the job and the address. If a bill is still open after the due date, she sends a short, friendly reminder. She does not have to stew over the words, because the draft is already done.

Try it with AI

Open a free AI tool, like ChatGPT, Gemini or Copilot. Leave out customer names, account numbers and anything private. You will add those yourself. Copy this prompt, fill in the parts in brackets, and paste it in.

I run a small business: [what you do].
Please write two short messages I can reuse.
1. A note to send with an invoice. Say thank you, name the job, say when payment is due and how to pay. Leave spots for [name], [job], [amount] and [due date].
2. A kind reminder for when an invoice is past due. Friendly, not pushy, no guilt, no threats. Under 50 words. Leave the same spots.
Use plain words. Do not add late fees, deals or promises.

What a good answer looks like: two short notes that sound like a real person. The reminder should read like a friendly nudge, not a scolding. If it sounds stiff, type "Make it warmer and shorter."

A few things to watch for:

  1. Run the prompt. Save both notes where you keep your invoices.
  2. Change any word that doesn't sound like you.
  3. Find one job you finished but have not billed yet. Send that invoice today.

Done when: you have one invoice note and one reminder saved, and one bill is out the door.
